Refund & Cancellation Policy

Authority on Tour

Special offers and discounts can only be applied at the time of booking and can not be retrospectively added at a later date, regardless of any later changes made to the original booking. Additional terms & conditions can be added during special campaigns and are solely valid for the specific campaign they refer to. Please see the ITM Holidays web site for particular conditions applicable to each offer. In all cases only one discount can apply to a ITM Holidays tour booking. When two or more offers can apply to a booking in all cases only the discount offering the highest saving to the booking will be applied.

Bookings

In order to process your booking, ITM Holidays need to collect certain personal details from you. These details will usually include the names and addresses of party members, credit/debit or other payment details and special requirements such as those relating to any disability or medical condition that may affect the holiday arrangements. We take full responsibility for ensuring that proper security measures are in place to protect your information.

We must pass some information on to the relevant suppliers of your travel arrangements (hotels, transport companies etc.). We may make contact with you or members of your holiday party by post, e-mail, or telephone for the purposes set out. We will also use your information to inform you of offers in the future or to send you brochures. If you do not wish to receive such approaches in the future then please let us know as soon as possible by telephone, letter or e-mail us at info@itmholidays.com. If we do contact you by e-mail about our new brochures, updated website or special offers, you will also be able to unsubscribe yourself from our database at this time.

When the passenger submits the review form they accept that the feedback and all rights therein, become the sole property of ITM Holidays and that ITM Holidays shall have the right to make it available to the public on this website and for any purpose and in any media (including for advertising or other commercial use).

Payment Terms

All payments are to be made in Name of ITM Holidays Pvt Ltd.
Reservation : An intial deposit of 50% amount of tour cost is required to secure reservation.
Final Payment : A deposit of rest of the payment as per your selected tour is required 20 days prior to commencement of tour as per agreed at the time of the confirmation of tour.
Any booking confirm within 20 working days of the date of services would be considered to be a late booking and for same the full and final payment is required to be made at the time of booking itself.

Changes by ITM Holidays

ITM Holidays aim is to operate all tours as advertised accepts that it may prove necessary or advisable to vary or modify a tour itinerary or its contents due to prevailing local conditions or any other reason. ITM Holidays reserves the right at any time to cancel or change any of the facilities, accommodations, services or prices described in our brochure or online and to substitute alternative arrangements of comparable monetary value or charge a supplement locally if alternative arrangements cannot be made, without compensation to the Client and accepts no liability to the Client whatsoever for costs or loss of enjoyment as a result of these changes. Where a major change is made prior to departure, the Client will have the choice of either: accepting another tour of equivalent or superior standard; or a choice of specified travel arrangements of a lower standard to those previously booked together with a refund of the difference in price; or cancelling the tour and obtaining a full refund. The definition of the “major change” is a change that is reasonably required but will depend on the individual tour.

Complaints

In the event of any dissatisfaction with any service provided by ITM Holidays, You must report it immediately to the Trip Leader so that action can be taken to remedy the problem. Failure to notify the Trip Leader of any problem immediately may prejudice ITM Holidays and may result in your ability to claim compensation from us being extinguished or reduced.

Cancellattion by ITM Holidays

ITM Holidays reserves the right to cancel a tour in any circumstances but will not cancel a tour less than 20 days before departure, Low Bookings or the Client’s failure to pay the final balance. Unless the Client fails to pay the final balance, ITM Holidays will, upon cancellation, return all monies paid excluding payment for travel insurance or offer an alternative tour of comparable standard (does not cover the flight ticket or any other item which is not related with the tour operator ITM Holidays). No compensation will be paid to the Client if cancellation is because of Force Majeure or Low Bookings.

Cancellattion by the passengers

Cancellations must be made by the passenger in writing to ITM Holidays prior to the tour departure to be confirmed as cancelled. Cancellations within the balance payment period (60-0 days prior to departure) are as follows:

  • 60 days or more prior to departure, 10% of tour fee is forfeited.
  • 59-30 days 50% of tour fee is forfeited.
  • 29-15 days 75% of tour fee is forfeited.
  • 14-0 days 100% of tour fee is forfeited.

For the bookings modified with an amended fee (modified less than 60 days to original departure date) no refund would be possible at any stage in case of a cancellation of the booking.

Note : We will help to refund your payment as much as possible. But if the situation is beyond our limit then we are helpless.

If you need to cancel your tour package, please send us a mail regarding the same To receive any refund, if applicable, will be processed between 30 – 45 days after our receipt of your written notice of cancellation.

Note : ITM Holidays is not responsible for any illness, loss, damage, theft, injury, death, etc. suffered by client either during stay at the hotel or in transit.

Definition

In service has booked later needs to be cancelled, it must be informed in writing to us and with respect to date to reception of the letter, the following amount will be charged.

  • 60 days prior to arrival – 15% of the Total tour/service cost.
  • 59 days to 30 days prior to arrival – 20% of the Total tour/service cost.
  • 29 days to 15 days prior to arrival – 25% of the Total tour/service cost.
  • 14 days to 08 days prior to arrival – 50% of the Total tour/service cost.
  • 07 days & less prior to arrival or no show – NO REFUND.
An administration fee of $200 will be applicable for all cancelled tours.

Special Note: - If travel duration between 15 December to 5 January. As these date are blackout dates due to Christmas and New Year Eve In this Case all hotels require 100% payment so we have to pay 100% payment to all hotels and in this duration Cancelation fee would 50% to 60% from the date of booking the tour.

NOTE: VISA IS COMPULSORY TO TRAVEL TO INDIA FOR ALL FOREIGN NATIONALS.
